How to Add an Appointment

Managing your time based on Appointments allows you better control, and a visual queue of how your day will look. The Appointments help you make the most out of your day by allowing you to prepare beforehand and maximize what you do in your downtime. All this can be handled in the Contact Details section of your CRM, including details about the appointments, such as the date, time, and status of the appointment, the calendar the appointment was booked on, and the assigned user.

Manually Scheduling From Contacts 

Navigate to the Contacts section, and look for the contact you'll have the appointment under the Smart Lists tab.

Once you click on the name you'll be directed to the Contact details, in there click on the Calendar Icon.

Click on the “+ Add” button to get started.

A pop-up similar to the one used when booking from Calendars will appear for you to fill in the appointment details.

  1. Select the calendar you’d like to book the appointment.

  2. Give your appointment a title. If left blank, the default title you created in the specific calendar will be used.

  3. Select the team member that you want to assign to this appointment.

Date and Time

Set the Date and Time of the appointment, here you have the option to use Default or Custom times

Default: This way you can select from your preset available slots, meaning inside your set available hours and calendar preset intervals

Custom: This allows you to schedule the appointment at any time, even outside of working hours or if an appointment was previously booked.

Meeting Location

This will be sent to the contact for them to show up to the appointment, just like with the date and time you can use the calendar default or a custom location that will only apply to this appointment.

Once all details are set click Book Appointment, this will add it to your calendar and send the related emails to the contact.

Adding Guests

If a Calendar has the Add Guests options enabled you may add them while creating a new appointment by clicking the Add Guest option, this will work like selecting the primary contact for the appointment.

Editing an Appointment

Once an appointment has been created you can apply any necessary changes by clicking the pencil icon. This will open a complete view of all appointment details just like when first creating it.

Canceling an Appointment

By clicking on the trash can icon you'll mark an appointment as Cancelled, meaning no reminders will be sent, and if you have a workflow triggered by appointment cancelation it will start.
